Make a copy of the ID

Once you have established the identity of your employee you make a copy of your employee's ID. The copy must be clearly legible and the photo must be recognisable. When you copy a passport you copy solely the pages on which information is stated, such as the personal characteristics, the signature, stamps and similar. When you copy an ID you make copies of the front and back.

The copy must show the number of the ID. The type of ID must also be clear. When these are not clear then you must enter the type of the ID and the number in the payroll records. You retain the copy in the payroll records for at least 5 calendar years after termination of the relevant employee's employment.

Please note!

In case of passport model 2013 and identity card (ID card) model 2013, you must also copy the page that shows the Citizen Service Number (Burger Service Nummer or BSN for short).
